7C's in Letter Writing
I. Clarity

Be clear means to have a definite purpose for writing and make sure it is clearly communicated up front. Make your words sharply defined so that the reader can understand what meaning you are trying to impart.

II. CONCISENESS

Keep in mind the reader's knowledge of the subject and their time constraints. Convey the information as quickly and easily as possible. In other words, you should be delivering your topic directly to the point.

III. COMPLETENESS

Include all the necessary facts and background information to support the message you are communicating. Supporting facts are very necessary for easy comprehension.

IV. COURTESY

To show some courtesy is to be polite when writing a letter. Nice words create a nice impression to the readers making them happy to read the letter and to have them correctly understand the thought.

V. CONSIDERATION

Keep your reader's needs in mind as you write. Ask yourself, 'Why should my reader spend time reading this?' Make it worthwhile for them to do so! We were motivated to survive, to listen and to act. Keep in mind your audience or reader might not be as receptive.

VI. CONCRETENESS

Concreteness means to be specific. Specific numbers rather than using words many, few, low high. Specific dates rather than later, next month, etc. Avoid words like good, well, poor, bad, when the subject is measurable. Use active approach rather than passive.

VII. VII. CORRECTNESS

To be correct in delivering some facts to the reader is a very essential tool for having your letter be understand directly.
